Dealer Order Management

Dealer Order Management

A central ordering backbone where dealers order around the clock and orders land in your ERP instantly

Dealer Order Management lets your dealers place orders from their own screen instead of competing for phone and WhatsApp attention. Each dealer sees their own price, live stock and current balance while building the order, and the moment it is confirmed it lands in your ERP. Order history, one-click reordering and saved lists turn routine replenishment into a few seconds of work.

Working Processes
Dealer Order Management

Dealer Sign-In

Signing in with their own account brings up the price list, the product groups and the permissions attached to that dealer's role for the whole session.

STEP
01 /12

Catalog Browsing

Only the products opened to that account appear on the landing screen, and the dealer finds what they need by part number or through the category tree.

STEP
02 /12

Building the Basket

Quantities go in line by line, or an entire saved list or past order drops into the basket in a single action.

STEP
03 /12

Price Calculation

List price, account rate, volume tier and any live promotion apply in order while the dealer watches the line and basket totals settle.

STEP
04 /12

Rule Check

Case multiples and minimum order values run against the basket, and any line that does not fit picks up a flag with the reason.

STEP
05 /12

Credit and Terms Check

Here the basket total meets the remaining credit headroom, and the dealer settles on a payment term along with any surcharge it carries.

STEP
06 /12

Order Submission

Adding a delivery address and a note sends the order through, and an order number with an expected ship date comes back on screen.

STEP
07 /12

Approval Step

Orders that trip an approval rule wait with the account manager or the sales director, and whoever releases them is recorded with a timestamp.

STEP
08 /12

ERP Handoff

Approval opens the order in your ERP as a sales order and reserves the stock behind it at the same moment.

STEP
09 /12

Pick and Ship

Warehouse staff work the pick list and pack the cases, and the tracking number lands on the order detail as soon as the carrier books the consignment.

STEP
10 /12

Documents and Collection

E-documents go out for the shipped order, the amount posts to the account, and the dealer can clear it by card without leaving the screen.

STEP
11 /12

Order Analytics

You notice the dealer retyping the same lines every month. Turn those lines into a saved list and the next round takes seconds.
